Joseph J. Albanese is actively seeking a motivated and organized individual to assist in managing our growing Santa Clara office, reporting to the CFO. The primary role of the Executive Assistant is to provide administrative support to the CFO. The ideal candidate will be self-driven, organized and will have a get it done safely attitude.


ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Assist the CFO with general clerical tasks, filing,
  • Heavy calendar management and scheduling travel arrangements as necessary.
  • Reconciling credit card each month.
  • Liaison with board members and related travel.
  • Assist in preparing documents, reports, and PowerPoint presentations.
  • Maintain records retention database, retrieval, and destruction.
  • Occasionally step in to cover reception, including phone calls and greeting guests.


SPECIFIC JOB KNOWLEDGE, SKILL, AND ABILITY:

  • Expert in Microsoft Office suite (Outlook, Word, Excel, Powerpoint).
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills with great attention to detail.
  • Highly resourceful team player who is highly effective at working independently.
  • Proven ability to handle confidential information.
  • Experience with Viewpoint Construction Software a plus.


QUALIFICATIONS & EXPERIENCE:

  • 5 years of prior experience as an Office Manager or Executive Assistant, preferably in a construction environment.
  • Minimum of an Associate's degree preferred. Can be a combination of training, education, and relevant work experience that is equivalent.


OTHER:

  • Ability to work overtime on an as-needed basis.
  • General work environment sitting for long periods, standing, walking, typing, bending.
  • Occasional lifting of up to 30 lbs.
